transcription services FAQsThank you for visiting our site. We have been transcribing interviews, focus groups and conferences for most of the universities in the UK, research companies, NHS, the government and private businesses for almost 10 years and are proud of the service we provide.

We hope our transcription services FAQs will answer most of your questions, but please remember we are only a friendly phone call away and we will be more than happy to answer any questions you may have.

How much do the transcription services cost?

We keep a very open and transparent pricing system and it is very easy to determine how much your recordings will cost to be transcribed. We stay below the VAT threshold so the prices quoted are the total price. Please also visit our Rates page.

1-1 Interviews

Our rates for standard interview transcription is £1.20 per recorded minute. 1 hour of recording would cost £72.

This is the rate as long as your recordings are of good quality and do not have many technical or medical terms that we would have to research and look up to find the correct spelling.

1-1 Interviews (urgent)

If you need your transcripts returned urgently, we do have a 12 hour turnaround service which costs £1.40 per recorded minute.

Focus Groups

Our rates for standard focus group transcription is £1.40 per recorded minute. 1 hour of recording would cost £84.

This is the rate as long as your recordings are of good quality and do not have many technical or medical terms that we would have to research and look up to find the correct spelling.

Focus Groups (urgent)

If you need your transcripts returned urgently, we do have a 12 hour turnaround service which costs £1.60 per recorded minute.

Focus Groups (discounted rate)

We can offer a discounted rate on our Focus Group transcription services if you do not require the participants to be named or referenced each time they speak. In this case we would display the moderator in bold font but all other participants would appear in normal font. However, if required we can reference every time another person begins speaking.

Volume Discount

We can offer discounts for high volume work where you are uploading over 15 hours of recordings over a 1-2 months period. Please contact us.

Transcript Template

On our homepage in Column 1 you can find a Microsoft Word transcription template in .rtf format which can be opened in most word processors.

This document outlines how you want us to transcribe your work. Often more than one typist will be working on your files and this document makes sure all your work is transcribed to the same specifications.

Please edit this template and upload it with your recordings or email to us directly.

Can it be transcribed today?

Yes, please contact us immediately to discuss your requirements.

Payment

If you are contracting our services through a university, charity, government or NHS we will be happy to invoice you once we have completed the project.

If you are a private company or member of the public we will require payment before commencing work. We are more than happy to transcribe just 15 minutes of work if you want to test our services before committing and remember, we have an amazing guarantee which we have offered for almost 5 years now.

BACS and PayPal payments

You can pay via BACS (internet banking) or PayPal. However, with PayPal there is a 4% charge which PayPal levy for their service. PayPal accepts most debit and credit cards. You do not need a PayPal account to use this service.

Invoicing

We usually send invoices to the same email address you used to upload your recordings.

If you would like the invoices to go to another email address, please inform us either when you upload the recordings or after via email.

When you upload your work, the first screen requests you input your deadline time and date and next to that you will see a handy little text window where you can provide another email address and leave any notes you think are important.

Are there any hidden costs?

No, there are absolutely no extra or hidden charges. The rates are as displayed on our Rates page.

Receiving Your Work

Once we have transcribed and proof checked your work we will return it to you via email using the same address you used to upload your recordings.

Unless otherwise requested transcripts will be returned to the same email address you used to upload your work. They will be sent in .rtf format which is a generic format that can be opened in most word processors.

Do you outsource your work abroad?

No, we only hire typists whose first language is English. 90% are based in the UK and we have working relationships with expat typists who live abroad as we have clients who require overnight delivery of projects.

They are all vetted and undergo a trial before working on recordings.

How can I send you my recordings?

You can upload to our secure servers using our quick, simple and very secure upload facility. Please click here to UPLOAD your files.

Uploading large files

The maximum size file you can email in one go is 10MB. For large files it is best to use wetransfer.com

What about confidentiality?

We are more than happy to sign confidentiality agreements or NDAs. We work for the government and many of our typists have CTC clearance (Counter Terrorist Checked).

The only details of your project we keep on file are your contact details and invoices. Your audios and transcribed documents are deleted from the server 30 days after they have been sent back to you.

What are your opening hours?

The reception takes calls from 9am – 5.30pm, but we transcribe in the evenings and weekends as well. If you need to contact us after 5.30pm, please email us and one of our team will get back to you.

What do you do if you cannot hear certain words?

If we cannot make out certain words due to background noise or poor audio quality, or if it is a word that is uncommon like a name, we will add a timestamp and asterisk. The timestamps and asterisks make it very easy for you to quickly find these parts of the audio where you can then listen and decipher for yourself what was being said.

If we start to notice too many we will contact you and inform you that we are encountering a problem and ask for your assistance and if you maybe have a better recording.

If typos or errors are made by us, they will be amended free of charge provided the work is returned to us within 48 hours of receiving it. If you wish to make extra amendments or if errors are made due to the client’s incomplete instructions, we will charge an hourly rate of £15.00 per hour. (to date we have never had to do this).

Complaints

Well, we don’t get it perfect every time. However, if you are not happy in any way whatsoever with your returned transcript, please just contact us and we will rectify it straight away.

We will work until you are satisfied. We wouldn’t be happy any other way.
